  • Experience: 2–4 years of experience working as a secretary, front office manager, or administrative assistant, preferably within a corporate finance, banking, or professional services environment.
  • Technical Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint) and experience utilizing digital calendar and email management tools.

  • Organizational Skills: Exceptional time management abilities with a proven track record of multitasking and prioritizing tasks in a fast-paced environment.

  • Interpersonal Skills: Outstanding verbal and written communication skills, with a welcoming demeanor and a strict commitment to confidentiality.

  • Professionalism: Impeccable grooming, punctuality, and a strong sense of personal responsibility.

Responsible For
  • Front Office Management: Greet visitors, handle inquiries, and direct clients to the appropriate departments with a high level of professionalism.

  • Communication & Correspondence: Manage incoming and outgoing calls, emails, and physical mail. Draft official letters, memos, and reports as directed by management.

  • Scheduling & Coordination: Maintain calendars, schedule appointments, and coordinate internal and external meetings, including preparing agendas and taking precise minutes.

  • Records & Document Control: Establish and maintain an organized physical and digital filing system for corporate records, client documentation, and confidential files.

  • Office Administration: Monitor and manage office supplies, coordinate maintenance schedules, and ensure the reception and boardroom areas remain tidy and presentable.

  • Executive Support: Provide ad-hoc administrative and clerical assistance to department heads to optimize workflow efficiency.
